These are the leaks we find most often in this kind of business. Not all four will apply to you. Usually two of them do, and usually nobody has measured either.
01
The no-show nobody could have prevented
Most no-shows had a reminder that arrived too early, in one channel, with no way to reply. Reminders at the right intervals, in the channel the patient actually uses, with a one-tap confirm or reschedule, move the number materially.
02
The gap in the schedule that stayed empty
A cancellation two hours out becomes an empty chair unless somebody works a waitlist. That is a job nobody has time for and exactly the job a system does well: offer the slot to a shortlist automatically and fill it before the day starts.
03
Recall that stops after one attempt
Patients due for a recall get one postcard or one text and then nothing. A sequence that continues politely, and stops the moment they book, recovers a substantial number of appointments you have already earned.
04
The front desk answering the same questions all day
Hours, parking, insurance accepted, what to bring, how long it takes. Answering those before they are asked frees the front desk for the work only a person can do.
