Requests Arrive in Six Places and Get Handled in Two

Phone, email, web form, text, social, walk-in. Every channel without an owner is a channel where things get dropped.

Most small businesses have accumulated channels rather than chosen them. A phone number, an email address, a web form, a texting number, two or three social inboxes, and whatever the owner's personal contacts bring in.

Each was added for a good reason. Collectively they are a leak.

The failure mode

A request arrives somewhere with no defined owner. It sits. Days later somebody notices, or nobody does. The customer, meanwhile, has drawn the obvious conclusion.

This does not happen because anybody is careless. It happens because "who watches the Instagram messages" was never decided.

Fixing it

1. List every channel. Genuinely every one, including the ones the owner forgot about. Most businesses find at least one nobody has looked at in months.

2. Decide which ones you actually want. Closing a channel is a legitimate answer. A channel you cannot cover reliably is worse than not having it.

3. Give every remaining one an owner and a response time. Written down, with cover for absences.

4. Bring them into one place. The strongest fix is routing everything into a single inbox or system so nobody has to remember to check six places. Whether that is a shared inbox, a CRM, or a helpdesk depends on the business, but the principle is the same.

5. Make the record consistent. However it arrives, it should end up as the same kind of record with the same fields, so the process after that point does not care about the channel.

Then route deliberately

Once everything lands in one place, routing becomes a decision you can make properly: by type of request, by urgency, by who is available, by who owns the account. That is not possible when requests are scattered.

What good looks like

Any request, through any channel, becomes a tracked item with an owner and a response clock within minutes, and no request depends on a specific person happening to look at a specific app.

The cheapest audit

Send yourself a test inquiry through every channel you have, on a normal day, and see what happens. Most owners find at least one that goes nowhere.
