Covering the Hours You Are Not Open

A meaningful share of inquiries arrive when nobody is there. What happens to them decides whether they are worth anything.

Look at when inquiries actually arrive and there is usually a substantial share outside working hours: evenings, weekends, early mornings. That is when people deal with the things they have been putting off.

What happens to those decides whether they are revenue or not.

What usually happens

They hit a voicemail nobody will hear until morning, or a form that generates an email nobody will read until morning. By then the person has contacted two other businesses.

For anything urgent, the loss is close to total.

The realistic options

Do nothing. Legitimate for some businesses, but do it knowingly, having looked at the volume.

Answer immediately, automatically. Acknowledge, capture what they need, tell them exactly when a person will respond, and handle the simple questions. This converts a large share of what would otherwise be lost, because the person stops looking.

Triage and escalate. Automatic handling for everything routine, with genuine emergencies reaching somebody on call. This is the right answer where after-hours urgency is real and valuable.

Answering service. A person, with the costs and the consistency issues that come with people.

What "answering immediately" needs to do

  • Acknowledge within seconds, not minutes.
  • Collect the essentials: who, what, how urgent, how to reach them.
  • Set an explicit expectation. "Someone will call you before 9am" beats "we will be in touch".
  • Recognize genuine urgency and escalate it.
  • Deliver a complete, structured record for the morning.

That last point is worth as much as the response. A well-captured overnight inquiry means the first call of the morning is informed rather than exploratory.

The threshold question

Whether this is worth building comes down to volume and value. Count the after-hours inquiries in a month and multiply by your average job value and your normal conversion rate. Most businesses find the answer obvious once they have the number, in one direction or the other.

What not to do

Do not pretend it is a person. Be clear it is an automated first response and that somebody real is coming. People accept that easily and resent the alternative.
